The Master Data Import Worksheet in Business Central lets you import data and correct errors before applying it to the database. When an import line contains errors, the worksheet leaves the relevant fields unapplied so you can fix them and run the action again.
For fields that exist on the base table, such as the Base Unit of Measure on the item, you cannot use the lookup functionality directly in the worksheet. You need to open the item card to see which units of measure are available. For Master Data fields, you can look up and select existing values, or add a new value directly in the worksheet.
Once you have corrected all errors on the lines, you run the action again to apply the data. When the lines succeed, the data is written to the database.
Correcting import errors in the Master Data Import Worksheet
The Master Data Import Worksheet makes it easy to handle and correct errors when you import data into Business Central. In this example, two lines of data have been imported into the worksheet. The next step is to carry out the actions, which means applying the data to the Business Central database.
When you run the action, the worksheet reports import errors on the lines and leaves the affected fields unapplied. You then need to go through each error and correct it before trying again.
Looking up values for base table fields versus Master Data fields
How you correct an error depends on the type of field.
The Base Unit of Measure field is a field on the base table, in this case the item. Because of that, you cannot use the lookup functionality directly in the worksheet. Instead, you have to open the item card to find out which units of measure are actually available. In this example, “pieces” should be available.
For Master Data fields, the situation is easier. You can look up and see the values directly in the worksheet. From there you can either add a new value if the one you need does not exist yet, or select one of the existing values.
Checking the line for additional errors before reapplying
Before you run the action again, it is worth checking whether the line has more than one error. In this example, a second error appears on a value that does not exist. Once you select a valid value, that is the last error on the line.
With all errors corrected, you carry out the action messages again to apply the data. Both lines then succeed, which means everything is applied to the database.
Q&A
How do you correct import errors in the Master Data Import Worksheet?
When you run the action, the worksheet reports errors and leaves the affected fields unapplied. You correct each field, either by looking up the correct value or entering a valid one, and then run the action again to apply the data.
Why can’t you use lookup on the Base Unit of Measure field?
The Base Unit of Measure is a field on the base table, in this case the item. Because of that, the lookup functionality is not available in the worksheet. You have to open the item card to see which units of measure are available.
Can you add new values directly in the worksheet?
Yes. For Master Data fields you can look up the existing values and either select one of them or add a new value if the one you need does not already exist.
How do you know the import succeeded?
After you correct all errors and carry out the action again, the worksheet reports the lines as a success, which means the data is applied to the Business Central database.
