Managing user groups in Microsoft Dynamics 365 Business Central lets you control which permission sets your users have. Each user group is a collection of permission sets, and you assign users to groups to give them the access they need.
You find and manage user groups on the User Groups page in Business Central. From here you can see the permission sets attached to each group, view the members of a group, and assign users to groups directly.
You can use the User by User Group page to get a full overview of which users belong to which groups. On this page you can check or uncheck users to change their group membership, which is a fast way to assign permissions from the back end.
Finding and managing user groups in Business Central
To get started, search for User Groups in Business Central. Each user group consists of a set of permission sets. When you select a user group, for example the D365 Accountant group, you see the related permission sets in the fact box on the right. You can also open the User Group Permission Sets to see the same list.
Different groups have different scopes. If you select the Administrator group and look at its permission sets, the list is considerably longer than for the Accountant group. This reflects the broader access an administrator needs.
Viewing user group members per company
For a selected user group, you can see which members belong to it. The users are shown per company in the database, so you always know who has access in each company.
Assigning users with the User by User Group page
The User by User Group page gives you a complete view of which users have which user groups. From here you can check mark users to assign them to different groups. This is a straightforward way to manage permissions from the back end.
For example, after assigning users, the Administrator group can show JNI and ABSUPER as members.
