If you run a B2B webshop on Microsoft Dynamics 365 Business Central, you can give several people at the same customer their own login. This is useful when more than one person at a customer needs to place orders or check prices online.

To make it work, you set the “Show on Web” field to Yes on both the customer card and on each contact card. Both conditions must be met before an email address can log in.

You create each person as a separate contact under the customer, set “Show on Web” to Yes on each contact, and select a primary contact for the customer. Each contact then logs in with their own email address.

Giving multiple contacts at one customer access to the webshop

When you run a webshop for business customers, it is common that several people at the same company need access. One person places orders, another checks deliveries, and so on. In Business Central you can set this up so each person logs in with their own email address, while they all belong to the same customer.

In this example we use the customer “Bike Master Atlanta”. This customer has no contact information registered, and to use multiple email addresses you need to create those people as contacts.

Step 1: Give the customer access to the webshop

Start on the customer card. Open the specifications and set “Show on Web” to Yes. This is what gives the customer access to the website in the first place. Without this, none of the contacts can log in, no matter what you set on the individual contact cards.

Step 2: Create the contacts who need access

Go to the contact card for the customer. In our example there is only one contact to begin with, so you create the people who need a login as new contacts. You can create as many as you need, for instance one contact for each employee at the customer who should be able to use the webshop.

Step 3: Give each contact access to the webshop

Creating the contacts is not enough on its own. You also need to give each individual contact access to the shop. Open each contact, go to the master data information specifications, and set “Show on Web” to Yes for that contact.

Do this for every contact who needs to log in. In our example we set “Show on Web” to Yes on the contact for Peter as well, so he gets access alongside the first contact.

Step 4: Select a primary contact

When you finish, you select a primary contact for the customer. In this example Peter is chosen as the primary contact for Bike Master Atlanta, but you can pick whoever you want. The important point is that the access does not depend on who is primary.

The rule is simple: as long as both the customer card and the contact card have “Show on Web” set to Yes, that email address will be able to log in. This means several people at the same customer can each have their own login to the webshop.
