It is possible to hide some of the different flows per user or per permission group.
In the job mobile setup, you can control which flows individual users see. You hide or show flows per user or per permission group, so a flow can be visible to one resource only while being hidden from everyone else.
To make a flow user specific, you add a new line in the mobile flows group, copy the existing settings, and select a specific resource number. You then deactivate the flow for everyone else.
To test the result, you change the fixed resource on your own user to log in as a colleague. The flow appears only for the user it is assigned to.
Controlling flow visibility per user or permission group in the job mobile
The job mobile in Business Central lets you decide which flows each user sees. You can manage this per user or per permission group. This is useful when a specific flow, such as My Time Collectors or the overview of all resources, should only be available to a single person rather than the whole team.
The principle is straightforward: you hide a flow for all users except the one who needs it. That keeps the mobile setup clean for everyone else and avoids cluttering their view with flows they never use.
How to make a flow user specific
Start by opening the mobile flows and finding the flow you want to restrict, for example the job time or status flow. Open the groups, where you can see how the flow is allocated. In this example, the flow is allocated to job time and material in the time section.
From here you add a new line and make it user specific:
- Copy all the information from the existing line.
- Select a specific resource number, for instance a named colleague.
- Deactivate the flow for everyone else except that colleague.
With this setup, only that one colleague can see the flow. When you leave the setup and go back into the job mobile, the flow disappears from your own view. The show all resources flow is now gone from your setup, but it remains available to the colleague you assigned it to.
Testing the setup by logging in as another resource
To verify that the flow shows up correctly for the assigned user, you can log in as that colleague. To do this, you need to set up the user so they do not have a fixed resource, or you change the fixed resource on your own user.
In practice, you set your own Windows ID to point to another fixed resource. When you then open the job mobile, the flow appears. In this example it shows up at the beginning of the list because it is a special flow. The overview of all resources flow is now available for Cecilia but not for anybody else.
Q&A
Can you control which flows individual users see in the job mobile?
Yes. You can hide or show flows per user or per permission group, so a flow is visible only to the users you choose.
How do you make a flow visible to only one user?
Open the mobile flows and the relevant group, add a new line, copy the existing information, select a specific resource number, and deactivate the flow for all other users.
How can you test that a user specific flow works?
Change the fixed resource on your own user to that of the assigned colleague, then open the job mobile. The flow appears for the user it is assigned to and stays hidden for everyone else.
