When we use the job mobile, we use the setup with resources.
How resource setup works in Job Mobile for Business Central
Job Mobile uses resources for time registration in Business Central. The way you set up resources on each Business Central user determines whether the app knows who is registering time, or whether it has to ask every time.
On a Business Central user you can assign a fixed resource that all registrations are tied to. When you have a fixed resource set up, the flows automatically use the resource you are attached to. You register time on a job, and the registration lands on your resource without any extra steps.
Working without a fixed resource on shared devices
If you deselect the fixed resource on the user, Job Mobile asks for the resource number every time you use the flows. This is the right setup when several people share the same device.
A typical example is a tablet mounted in a car, where different technicians use the same hardware throughout the day. In that case, you log into Job Mobile, state your user ID, and the registration goes to the correct resource.
If Henrik logs in and registers three hours on a job, the job journal gets a line with Henrik as the resource. If Simon then uses the same device and registers time, the next job journal line is created on Simon. Each registration follows whoever is logged in.
Licensing to be aware of
There is a licensing consideration when you use this functionality. If you let multiple people register time through shared devices and individual user IDs, make sure your Business Central licensing covers the users involved before you roll it out.
Q&A
What is the difference between using a fixed resource and no fixed resource in Job Mobile?
With a fixed resource assigned to a Business Central user, registrations automatically use that resource without prompting. Without a fixed resource, Job Mobile asks for the resource number every time, which suits shared devices used by several people.
How does time registration work when several people share the same tablet?
Each user logs into Job Mobile with their own user ID. The job journal line is created on whichever resource is logged in, so Henrik’s registration goes on Henrik and Simon’s goes on Simon.
Is there anything to consider regarding licensing?
Yes. When you use this functionality with multiple users on shared devices, check that your Business Central licensing covers the users involved.
