Setting up Rental Management in Business Central starts with defining the resources you use to handle rental periods. You create one resource for each rental unit, for example a “Rental Day” resource for renting by the day and a “Rental Hour” resource for renting by the hour.

You set the resource type to Machine and assign a base unit of measure, a general product posting group, and a VAT product posting group if you use VAT on the resource.

You do not define costing or pricing on the resource itself. The actual prices are determined in a separate rental price table. The resource is a placeholder that lets you use the standard posting functionality in Business Central.

The base unit of measure is just a label. Naming a resource “Hour” does not make it bill by the hour. You control that later through the categories.

Defining resources for Rental Management

When you set up Rental Management in Business Central, you start by defining the resources that go on the sales order line. These resources handle the days, hours, or minutes that you rent out equipment for.

The first step is to open the standard resource table in Business Central and create one or several resources you want to use for rental.

Setting resource type, base unit of measure, and posting groups

For a rental resource, the type is normally Machine. You then select the base unit of measure, which is an important field to get right.

The base unit of measure does not determine whether the resource is a day or an hour. It is just a figure that you name yourself. You could call it whatever you want, including kilos or kilometers. Naming it “Hour” does not make it bill by the hour.

You also define the general product posting group and the VAT product posting group, if you use VAT on the resource. You do not have to define any costing here, because the cost and price are determined in a specific rental price table. The resource is a placeholder for using standard posting functionality.

Example: separate resources for day and hour rentals

In a typical setup you create one resource called “Rental Day” for when you rent out per day, and another called “Rental Hour” for when you rent by the hour.

The unit of measure on each resource is just a name. The actual behaviour, such as whether the rental is calculated per hour, is configured later in the categories. This is how you start when you want to configure Rental Management.
