With the Master Data Information app, you can attach files such as user manuals directly to your items, customers, and vendors in Business Central. Using the Master Data and Document functionality, you can transfer those files from the master data fields to your documents. When you send a document by email, the Document Handling functionality lets you attach those files to the outgoing email automatically.

For example, if a user manual is attached to an item on a sales line, you can include it when you send the order confirmation. When you send the confirmation, you are asked whether you want to attach the file from the line. If you choose yes, the user manual is attached to the email alongside the order itself.

Attaching files to items, customers, and vendors

The Master Data Information app lets you attach files to your master data records. This means you can store a relevant document, such as a user manual, on an item, a customer, or a vendor, so the file is connected directly to the record it belongs to.

Transferring files from master data to documents

With the Master Data and Document functionality, you can transfer the attached files from the master data fields onto your documents. A file attached to an item carries through to the sales line where that item is used, so it follows the document rather than staying only on the master record.

Attaching files to emails when sending documents

The Document Handling functionality lets you attach these files to an email when you send a document. When you send an order confirmation, you are prompted to decide whether to attach the file from the line. If you confirm, the file is added to the email along with the order document itself. In the example, the user manual attached to the item appears as an attachment on the confirmation email next to the order.
