Document Handling in Microsoft Dynamics 365 Business Central lets you control the language used in the email body, subject, and attachment file name. The language follows the language code set on each customer. A customer with the EN-EU (English) language code receives emails in English, while a customer with the DA-DK (Danish) language code receives emails in Danish.

You set this up once, and the system picks the correct language automatically based on the customer’s language code. You can configure as many languages as you need.

Control email language with Document Handling in Business Central

When you send documents from Business Central using Document Handling, the language of the email is not something you have to set manually each time. It is driven by the language code on the customer card.

That means the subject line, the email body, and the file name of the attachment all follow the same language. If the customer is set up with the English language code, all three are in English. If the customer is set up with the Danish language code, all three are in Danish.

How the language code drives the email

Here is what it looks like in practice:

  • For a customer with the English (EU) language code, the subject, the email body, and the attachment file name are all generated in English.
  • For a customer with the Danish language code, the subject, the body, and the attachment are all generated in Danish.

You send the email the same way in both cases. The difference is handled automatically based on which language code is on the customer you are sending to.

Set up multiple languages

You are not limited to English and Danish. Document Handling lets you set up as many languages as you want. Each language you configure can then be matched to the customers that use the corresponding language code, so every customer receives correspondence in their own language without extra manual work.
