Document Handling in Microsoft Dynamics 365 Business Central lets you set fixed CC and BCC email addresses for outgoing documents. You configure these in the Document Sending Setup, where you can define them per document type and language code combination.

You add the CC and BCC addresses on top of the email setup that already exists on the individual customers and vendors. The fixed addresses do not replace the customer or vendor email, they are added to it.

You can also choose to send the email without a request. Enable the “Send without request” option on the document template level in combination with the language code, and the email goes out automatically.

Setting fixed CC and BCC email addresses in Document Sending Setup

In the Document Sending Setup, you can add fixed CC and BCC email addresses for your outgoing documents. This means specific addresses are always included when a document is sent, without you having to add them manually each time.

You set these addresses individually for each document type and language code combination. That gives you control over exactly which addresses receive a copy depending on the type of document and the recipient’s language.

Example: sending a posted sales invoice to a Danish customer

When a posted sales invoice is sent to a Danish customer, the email is sent with a CC to invoices@dunnos.com. At the same time, a BCC goes to another email account.

This setup ensures that the right internal or external addresses always get a copy, based on the combination of document type and language code you have defined.

How the fixed addresses work with customer and vendor setup

The email addresses you define in the Document Sending Setup are added to the email setup made on the individual customers and vendors. They work together rather than overriding each other, so the customer’s or vendor’s own email address still applies alongside your fixed CC and BCC addresses.

Sending documents without a request

On the document template level, in combination with the language code, you can also decide whether to send the email without a request. You do this by enabling the “Send without request” option. When enabled, the email is sent directly without prompting you first.
