The Document Handling setup in Business Central controls how emails are sent when you forward documents like orders and invoices to vendors and customers. You can add a fixed CC and BCC email address so a copy of every email goes to a specific address. You can control whether comments from documents appear in the email body. You can also set a default language for emails sent to vendors and customers without a language code.

To open the setup, search for “Document Handling Setup” in Business Central.

Adding a fixed CC and BCC email address

In Document Handling Setup, you can add a fixed CC and BCC email address. This is the address you want a copy of all your emails to be sent to. Once set, every email sent through document handling includes this address automatically.

Controlling comments on document headers and lines

By default, comments on document headers and document lines are automatically inserted into the email body. This means any comments you have added on an order are carried over into the email text.

If you do not want comments to appear in the email, you can ignore them. Enable the “Ignore comments on orders” option, and the comments will no longer be inserted into the email.

Setting a default language for emails

The default language setting controls which language is used for emails sent to vendors and customers in two situations:

  • When the vendor or customer does not have a language code selected.
  • When the vendor or customer has a language code defined, but you have not yet translated your email templates for that language.

In both cases, the default language ensures the email is still sent in a language you have prepared, rather than failing or defaulting unexpectedly.

How do I send a copy of every document email to a fixed address?

In Document Handling Setup, add a fixed CC or BCC email address. A copy of all emails sent through document handling will then be sent to that address automatically.

Can I stop document comments from appearing in emails?
