When you install Purchase Order Management in Business Central, you get a new action in Document Handling called Advanced Text Templates. This action lets you set up email templates for both document headers and document lines. You can send an email based on an entire purchase order or just for the specific lines you are working on. Each action and status in Purchase Order Management has its own template, and you can edit every template individually.

Advanced Text Templates in Purchase Order Management

When Purchase Order Management is installed, a new action is added under Document Handling, next to the Simple Text setup. This new action is called Advanced Text Templates, and it gives you more control over how emails are generated from your purchase orders.

Setup for document headers and document lines

In the Advanced Text Templates setup, you will find configuration for both document parts: lines and headers. The reason for this split is that Purchase Order Management lets you send mail in two different ways. You can send a mail based on the whole order, or you can send it for just the specific lines you are standing on. Connected to each of these setup lines is a list of templates that controls the content.

Templates per action and status

Purchase Order Management controls the mail and the mail bodies differently depending on the status and the action you want to perform. Because of this, there is a separate template for each of these actions. That means the email content adapts to the situation instead of using one generic message for everything.

Since each template is tied to a specific action, you can edit them individually. This gives you the flexibility to tailor the wording for each scenario without affecting the other templates.
