In Document Handling, the Simple Text Setup is where you manage all your document and email templates. You combine each document or email template with a document type and a language code, so the right template is used in the right situation. This article explains how the setup works and what each field controls.

You define the department or area in the first column, choosing for example purchase or sales. In the document header type you select the specific document type, such as a sales order or sales quote. In the language code field you choose the language.

Document Handling comes with Danish and English as standard, but you can add as many languages as you need.

The CC and BCC email fields let you set up email addresses that are added automatically when an email is sent for the individual document templates. You can also mark whether you want to send the email as a request. Finally, you can see whether the HTML signature has been enabled on the individual document templates.

Where to find the Simple Text Setup in Document Handling

You find the setup by searching for it directly in the system. The Simple Text Setup is the central place for changing all your document and email templates, so you don’t have to manage templates in scattered locations.

How document type and language code work together

The setup ties each template to a combination of a document type and a language code. This means you can have different templates for the same document type depending on the language, and different templates across document types within the same department.

  • Department or area: Defined in the first column, for example purchase or sales.
  • Document header type: The specific document type, such as a sales order or sales quote.
  • Language code: The language the template applies to.

Because Danish and English are included as standard and you can add more languages freely, you can scale the setup to match the languages your customers and suppliers actually use.

Defining the email template and its content

In the template field you define the actual template that should be used. Each email template is given a template name, which points to the actual content of the email template. This keeps the template definition and its content connected in one place.

Setting CC, BCC, send request and HTML signature

The CC and BCC email fields let you set up email addresses that are added to the email when it is sent for the individual document and email templates. This is useful when a copy should always go to a specific mailbox or person.

You can also set a mark to indicate that you want to send the email as a request. And you can see whether the HTML signature has been enabled on the individual templates, so you know which templates include a formatted signature.
