When you send emails from Business Central using a document template, you can control how the signature in the email body is generated. The default setup retrieves signature information dynamically based on the Document Handling user. You can also use a fixed HTML signature that applies to all emails sent with the same template. A third option lets you build the signature from the salesperson or purchaser on the actual document you are sending.

The dynamic signature works by combining the Business Central user with a salesperson or purchaser code in the Document Handling user setup. Business Central then pulls the signature information from there.

How the email signature is defined in Business Central

The signature in the email body can be defined in different ways depending on how you want the information to be sourced.

By default, the signature is set up to retrieve information dynamically based on the Document Handling user. In the Document Handling user, you combine the Business Central user with a salesperson or purchaser code, and the signature information is retrieved from there.

Using the salesperson from the document for the signature

The dynamic setup also lets you use the salesperson from the actual document you are sending as the basis for the email signature. This means the signature reflects the person tied to the specific document rather than a generic user setup.

Using a fixed HTML signature for all emails

You can also use a fixed HTML signature. This signature is used for all emails sent with the same template, regardless of who the document belongs to. Use this option when you want a consistent signature across every email from a given template.
