Job G/L journals in Business Central let you post entries to a job while also creating G/L entries at the same time. This makes them different from job journals and recurring job journals, which post to the job without generating G/L entries.

To set up a job G/L journal, you create a general journal template with the type set to Jobs. The template controls settings like balancing account type, balancing account number, number series, posting number series, source code, and reason code. These settings are inherited by the journal batches you create under the template.

To start working in a job G/L journal, search for General Journals, open the relevant batch, and choose Edit Journal. You can then enter your data and post it to the job.

What a Job G/L Journal does

When you work with jobs in Business Central, it’s important to choose the right journal for the task. There are three options to keep separate: job journals, recurring job journals, and job G/L journals.

The job G/L journal stands out because of what happens when you post it. Entries are posted to the job, but the journal also creates G/L entries. That dual posting is the key distinction, so make sure you pick the right journal before you start entering data.

Setting up the general journal template for jobs

Since this is a job G/L journal, you start by searching for General Journals. To look at the setup, open the General Journal Templates.

One of the templates is called Jobs. This is the template used for job G/L journals. If it doesn’t exist and you need to create a new one, make sure you set the type to Jobs.

When you set up the template, leave the Recurring checkmark unticked for a standard job G/L journal. From here you can configure:

  • Balancing account type and balancing account number, just like any other G/L journal
  • Number series and posting number series
  • Source code, reason code, and similar fields

These settings are inherited by the general journal batches you create from the template. You can also set the standard checkmarks if they’re relevant to your scenario, but in many cases the standard setup is fine as it is.

Working with journal batches

To see the batches, click Navigate, then Template, and view the batches. You’ll find a job G/L journal batch called Default. It inherits the setup from the G/L journal template, including the number series and the other settings.

You can create as many batches as you want, and you can vary the setup per batch for number series, balancing accounts, and so on if that’s relevant to your work. If the list is blank, you can create new lines.

To start entering data, open the batch, go to Process, and choose Edit Journal. You can now work in your job G/L journal and enter the relevant data before posting it to the job.
