How do you create job planning lines from usage entries?
If I want to manually convert my usage entries from my job ledger entries list, to planning lines. There’s a function to help me with that.
This is what happens in the video
If you need to convert usage entries from your job ledger entries into planning lines in Business Central, there is a built-in function that handles this for you. You select the job ledger entries you want to convert, run the process, and choose whether the planning lines should be created as budget, billable, or both. The system then creates the planning lines based on the selected entries.
When you transfer entries, you decide the job planning line type. Budget creates lines for tracking, billable creates lines you can invoice directly, and the combined option creates lines that are both budget and billable.
Be aware that the result can differ depending on whether you use the usage link setting on your entries.
Converting job ledger entries to planning lines in Business Central
If you have posted usage on a job and afterwards realise that you also need it reflected as planning lines, you do not have to enter everything again manually. Business Central has a function on the job ledger entries that does the conversion for you.
Open the job ledger entries from the relevant job card. In this example there are three entries posted, and the task is to turn them into planning lines. This situation typically arises when you forgot to define which lines should be created as planning lines while entering the job journal. The function lets you fix that afterwards.
How to run the transfer to planning lines
Mark the entries you want to convert. Then choose Process and Transfer to planning lines. The system creates planning lines based on the selected job ledger entries.
In this case all three entries are marked for transfer to planning lines.
Choosing the job planning line type
Before you confirm, you need to think about the job hierarchy and the different types of job planning lines. You have three options:
- Budget creates the lines as budget entries.
- Billable creates the lines as billable, which is what you choose if you want to bill the usage directly.
- Both budget and billable combines the two, so the planning lines are created as budget and billable at the same time.
Select the type that matches your need and click OK. The system confirms that the entries were successfully transferred to planning lines.
Watch out for the usage link setting
The outcome can vary depending on whether you use the usage link on your entries. Check this setting before you run the transfer, so the result matches what you expect.
