In Microsoft Dynamics 365 Business Central, a released purchase order is locked for editing. If you want to change the quantity on a line, you normally have to reopen the order first. Business Central blocks the change and tells you that you must have an open document.

The Purchase Order Management functionality lets you change data directly on a released purchase order without manually reopening it. You edit the line, and the Purchase Management Journal reopens the order, applies the change, and releases the order again automatically.

Why released purchase orders are locked for editing

When you work with released purchase orders in Business Central, you cannot change anything in the order. If you try to change the quantity on a line, for example to set it to 7, Business Central stops you and tells you that you must have an open document.

The standard way to make a change is to reopen the order, edit it, and then release it again. That works, but it adds extra steps every time you need a quick adjustment.

Changing the quantity directly on a released order

The Purchase Order Management functionality lets you change data directly on a released order. Instead of reopening the order manually, you go to the Purchase Management Journal, find the line you want to change, set the new quantity, and handle the line.

For example, take order 285. You select the relevant line, change the quantity to 7, and handle the line. When you go back to the order, the quantity has been updated and the order status is back to Released.

What happens behind the scenes

When you handle the line in the Purchase Management Journal, three things happen automatically:

  • The journal reopens the order.
  • It changes the quantity on the line.
  • It releases the order again.

You get the change you need without having to manage the reopen-and-release steps yourself. This is how you change data directly on a released order through the Purchase Management Journal.
