How to update reminder texts in Business Central?

In some cases, we would like to update the reminder text on our reminders.

When you work with reminders in Business Central, you can update the reminder text after the reminder has been created. This is useful in two situations: when you want to change the reminder level on an existing reminder, and when your reminder text uses parameters that no longer match the document.

To update the text, go to Actions, then Functions, then Update Reminder Text, and select the reminder level you want. You can choose whether to update additional fees at the same time.

If you change the reminder level, the start text and end text update to match the new level. If you change the due date or delete a line, parameters such as the due date or the sum of the lines update to show the correct values.

You can also use Use Header Level on the reminder lines, so that all lines are handled at the same level the next time you send a reminder.

How reminder levels and texts work as standard

As standard, when open entries still have not been paid since your last reminder, the reminder level is increased by one, and the text follows the header level.

In an example where the header level is set to 2, the text inserted into the reminder uses the text from level 2. The lines, on the other hand, can still be on different levels.

If you want all of the lines to be handled the same way the next time you send a reminder, and they are still not paid, you can use Use Header Level on the lines. This means that the next time you issue a reminder for that customer, all of the lines are regarded as level 3.

Updating the reminder text to change the reminder level

Sometimes you want to degrade a reminder to a lower level. If a reminder is currently made on level 2 but you want it on level 1, you can change this.

Go to Actions, then Functions, then Update Reminder Text. Insert the reminder level you want. If you set it down to 1, you get the option to also update the additional fees. You can skip that and only update the reminder level.

After this, the start text and the end text are updated to the new level, and so is the reminder level on the header.

Updating the reminder text when you use parameters

The second situation where updating the text is useful is when your texts use parameters. For example, you can set up the text so that the due date of the document is inserted automatically.

If you change the due date, the text on the document does not change automatically. It still shows the old date, for instance the 3rd of November. You update this the same way: go to Actions, then Functions, then Update Reminder Text, and choose the level again. The date is then updated.

The same applies if you use a parameter that shows the sum of the lines and you delete a line. The sum in the parameter would then be wrong, so you would want to update the text to reflect the correct sum.
