When you use Shop Floor Mobile in Business Central, every registration is stored in the item ledger entries and capacity ledger entries with a resource number. That gives you full traceability of who performed each registration without setting up a lot of extra configuration. The resource link comes from the Mobile Flow user setup, where you can either assign a fixed resource to a Business Central user or let people identify themselves with a PIN code at login.

If you assign a fixed resource to a user, that user always registers as the same resource. If you remove the fixed resource, the user has to identify themselves with a PIN code each time they log in. This means one screen can be shared as a device user by many resources in the production area, or a single screen can be dedicated to one person for even faster registrations.

How registrations are stored with a resource number

Whenever someone registers work through Shop Floor Mobile, the data lands in the item ledger entries and the capacity ledger entries, each tagged with a resource number. You don’t need to set up anything special to get this. The resource number is included automatically.

For example, if you open the item ledger entries and filter on a specific production order number, you can see each entry along with the resource number that made it. Each resource number tells you who did that particular registration. The same applies to the capacity ledger entries, so both your material and your capacity postings carry the resource information.

Where the resource number comes from

The resource number on each entry comes from the Mobile Flow user setup. Here you map each Business Central user to a resource. If the Business Central user you are logged in with is set up with a fixed resource, that resource number is used on every registration that user makes.

Fixed resource versus PIN code login

You have two ways to handle who is behind a registration:

  • Fixed resource: The Business Central user is tied to a specific resource number. Every registration is posted with that resource automatically.
  • PIN code login: If you remove the fixed resource from the user, the operator has to identify themselves with a PIN code each time they log in to Shop Floor Mobile.

This choice decides how a screen is used on the shop floor. Without a fixed resource, one screen can act as a shared device user and be used by many resources in the production area, with each person identifying themselves by PIN. With a fixed resource, a screen can be dedicated to a single person, which makes registrations even faster because there is no login step.

Choosing the right setup for your shop floor

The right approach depends on how your production area is organised. If several people share the same workstation or terminal, leave the resource open and let people log in with a PIN so each registration is correctly attributed. If a workstation belongs to one operator, assign a fixed resource and skip the identification step for faster registrations.
