To use the Shop Floor Mobile app in Business Central, you set up each employee who creates registrations as a resource. You also set them up as warehouse employees in standard Business Central if you use bins and warehouse functionality. In the Mobile Flow user setup, you decide whether a user logs in as a fixed resource tied to one device or as a non-fixed resource that requires a PIN code each time. You assign a flow permission group, a default location code, and an optional PIN code to each resource.

Setting up employees as resources

Before you can use Shop Floor Mobile, you need to set up each employee who creates registrations as a resource in Business Central. This is the foundation that lets the app connect a registration to a specific person.

If you plan to use bins and warehouse functionality, there is an extra requirement. All your warehouse employees, or the employees who work with bins, must be set up as warehouse employees in standard Business Central. This is a setup you might already know from working with warehouse management. Just make sure it is in place so the mobile flow works as expected.

Configuring the Mobile Flow user setup

Once the resources are in place, you move on to the Mobile Flow user setup. Here you connect the Business Central user, which comes from the Active Directory, to a resource and decide how that user logs in.

You can define a user as a fixed resource and attach a resource number to it. A fixed resource is typically used when a computer or a scanner is tied to one specific employee, so the device always logs in as that person.

If you do not set a user up as a fixed resource, it becomes a non-fixed resource. In that case the user has to enter a PIN code every time they log in. This is the right choice when several people share the same device.

Setting up the resource and PIN code

You set up one line in the Mobile Flow user setup, and you also configure settings on the resource number itself. On the specific resource you set a flow permission group and a default location code.

In the resource tab you can also assign a PIN code. The PIN code is what the resource uses to log in. For example, if you set the PIN code to 123, you log in with that PIN code instead of your resource ID.

There are more settings available here that build on this configuration, but once the resource, the permission group, the default location code, and the PIN code are in place, you are basically ready to run.

Q&A

What do you need to set up to use Shop Floor Mobile in Business Central?

You need to set up each employee who creates registrations as a resource in Business Central. If you use bins and warehouse functionality, you also set those employees up as warehouse employees in standard Business Central. Then you configure the Mobile Flow user setup to connect users to resources.

What is the difference between a fixed and a non-fixed resource?

A fixed resource is tied to one employee, so the computer or scanner always logs in as that person. A non-fixed resource requires the user to enter a PIN code each time they log in, which suits shared devices.

What is the PIN code used for in the Mobile Flow setup?

The PIN code is the code a resource uses to log in. Instead of logging in with your resource ID, you log in with your PIN code, for example 123.

What do you configure on the resource in the Mobile Flow setup?

On the specific resource you set a flow permission group, a default location code, and an optional PIN code. There are additional settings available that build on this base configuration.
