When you use the Shop Floor mobile app in Business Central, the postings the operator makes on the floor rely on a set of underlying journals. You configure these journals and the user setup through the Mobile Flow User Setup, where you navigate into the resource setup and open the Mobile Flow Resource Setup Card. From there you define time collectors, location code, flow permission group, and which journals to use.

For each journal you decide whether it posts automatically. If you deselect the post consumption journal in the header, consumption stays in the journal for someone else to post. If you keep it selected, the flow posts consumption automatically when it runs.

You can also set a PIN code per user. Once you apply a PIN code, it is automatically required at login, and the code itself stays hidden when entered.

Why the Shop Floor app needs journal setup

When operators use the Shop Floor mobile app, a lot of activity happens behind the scenes. Every action they take on the floor results in a posting, and those postings run through underlying journals that the user normally never sees. For the app to work as expected, these journals have to be set up correctly.

There is a default setup to get you started, but in practice you will want to control the configuration yourself so the postings match how your shop floor actually works.

Where to find the Mobile Flow Resource Setup Card

The configuration lives in the Mobile Flow User Setup. From there you navigate into the resource setup. The resource is fixed, so you see your resource number in this view. You then continue into the specific resource setup, which is the Mobile Flow Resource Setup Card.

On this card you find the setup for time collectors as well as the general setup for the user and the resource.

Key settings on the resource setup card

The Mobile Flow Resource Setup Card gives you control over several settings:

  • PIN code – You define the user’s PIN code here.
  • Location code – This is the same field that updates in the flow when you update it.
  • Flow permission group – You select which permission group applies to the user.
  • Journals – You define all the journals you want to use, and for each one you decide whether it should post automatically.

Automatic posting versus manual posting of journals

The automatic posting setting is what controls whether a posting is finalised on the floor or left for review. Take the post consumption journal as an example. If you deselect it in the header, then when an operator registers consumption, the entry is left in the journal for somebody else to post later. That gives you a control step before anything is committed.

If you select the journal and run the flow, consumption posts automatically. This is the reason you go through the journal setup for each user. It lets you decide, journal by journal, how much should happen automatically and how much should pass through someone for approval.

Setting and requiring a PIN code

You enter the PIN code directly in the setup. You can use any number you want, and the value stays hidden as you type it. Once you apply a PIN code to a user, it is automatically required when that user logs in to the app.
