With the information matrix, it’s very easy for me to export data to excel that I defined myself in the column setup for all the data that I have and the information matrix.

The Information Matrix in Business Central lets you export data to Excel using a column setup you define yourself. You pick which columns to include and the order they appear in, then export the result straight to Excel.

You can export any data set you have in the Information Matrix, such as your sales items, your bikes, or all items marked as sales items. The export combines master data information with data from the item table directly.

The Information Matrix supports up to 15 columns per export.

You can save your column setup as a template in the Information Matrix, so you can reuse the same export again and again.

Defining your own column setup for export

The strength of the Information Matrix is that you decide which columns to export and in what order. If you want to export your sales items in a specific column order, you open your item list in the Information Matrix and set up the columns the way you want them.

Keep in mind that the Information Matrix supports up to 15 columns. As long as you stay within that limit, you can arrange the columns to match exactly how you want the data to look in Excel.

Selecting the data you want to export

Once your columns are set up, you find the data you want to export. You might choose to export your bikes, all items marked as sales items, or whatever subset fits your need.

The Information Matrix then creates a data set using the column setup you defined. It pulls the data from your master data information and the item table directly, so you get the right fields in the right order.

Opening and working with the data in Excel

To get the data into Excel, you select Open in Excel. Business Central exports the data set, and Excel opens with your columns ready to work with.

From there you can save the file, edit the data, and send it to whoever needs it. This is also a practical way to build a data set that you want to import later, structured with the exact column setup you prefer.

Saving the setup as a reusable template

You do not have to rebuild your column setup every time. You can save it as a template in the Information Matrix in Business Central. That way you can run the same export again and again without redoing the configuration.
