In Business Central you can mark items directly from the order matrix, not just from the item list. This means you can pile up items across several ordering sessions and keep them in a single marked list, even after you have deleted the lines from the matrix. The marks stay in the backend until you actively remove them.

You add marks from the order matrix by choosing Mark, and the marks apply to all lines in the matrix at once. You cannot mark individual lines separately. To clear the marks, you remove all marks, which wipes the entire list.

You can view the marked items by filtering on Marked by user, and the items also show up as marked on the item list.

Marking items from the item list and the order matrix

You can mark items directly on the item list using the search functionality and search by master data. But marking is not limited to the item list. You can also do it from the order matrix, which looks a bit like the information matrix but is built for ordering purposes.

In the order matrix you can import data from a specification search and build up a list of items. This is useful if you are creating orders for vendors, pre-orders, or any other kind of build list. Once you have items in the matrix, you can add a mark to all of them, for example because you need to do some filtering and export the result to Excel.

How marking works in the order matrix

When you add a mark from the order matrix, it applies to every line in the matrix. You cannot filter and mark a single line on its own. The Mark function gives you the option to add marks from the current list or to remove all marks. If you remove all marks, it clears the entire list, not just the lines you are looking at.

Once you have added the marks, you can go back to the marking functionality and look at the items under Marked by user. There you see all the items from your order matrix collected in one place.

Building a list across several ordering sessions

This setup is helpful when you work as a purchaser and order across multiple vendors. Say you order items for one vendor and then delete the lines from the matrix afterwards. The items are still marked in the backend, so they stay on your list.

You can then import lines for the next vendor, handle the quantities you want to order, and add those items to the marks as well. Each new batch gets added to the list rather than replacing it. This way you keep piling up all the items you have been ordering, and you build a complete record of everything that has gone through your ordering process.

When you check the item list, the items you marked from the order matrix show up there as marked items. So the order matrix becomes another practical way of marking items, alongside the item list itself.
