If you use the app called Document customizer meant to layout and print documents together with the master information, it’s possible to add master data information directly to the documents.

The Master Data Information app lets you attach reusable text to customers, vendors and items, and then have that text flow automatically onto your sales orders and purchase orders. When you combine it with the Document Customizer app, the text prints directly on your documents without any manual copying.

You control where each piece of text appears. You can place general text in the document header or footer, and you can attach specific text to individual document lines.

You decide which documents the text applies to. For example, you can show certain text only on posted documents and keep it off open documents.

You can override or add Master Data Information manually on a document, and the change will be reflected on the printed output.

How Master Data Information works on documents

The Master Data Information app makes it possible to add reusable information directly to your documents. This applies to basically all document types, but a sales order is a good example.

On the sales order header you can attach general text. A typical example is a footer line such as “If you have any questions, don’t hesitate to contact us.” You can also define text that should appear on posted documents but not on open documents, so you control exactly when each line shows up.

The same principle applies on the document lines. If you have several item lines and have set up Master Data Information for those items, you can select which of them to print. There is a setup that controls how the information is transferred to the document.

Printing with the Document Customizer app

When you use the Document Customizer app on top of Master Data Information, the text prints automatically. If you print an order confirmation for a customer and preview it, you will see the master data transferred to the document without any extra steps.

For line-level master data, you can set up which content to include. You can choose whether to take only the full long description or each of the lines, and so on. The general master data that you set on the header or footer prints in those positions on the document.

In practice this means text flows from customers and items onto sales orders, and from vendors and items onto purchase orders. The Document Customizer then prints it directly.

Overriding master data manually on a document

You are not locked into the automatic text. If you change the Master Data Information manually, or add new text, it will also appear on the printed document.

What the Document Customizer picks up is the description column. So you can add more text to the end of a description on a line, or add an extra line below. The same works on the sales header, where you can apply master data information that then prints from the description field.

For example, if you change only the first row of a line to include additional text, the confirmation will show that change while the rest of the lines keep the text that was created automatically.
