You can add the master data information, add as t information for sales orders and sales quotes, sales documents, and basically you, you don’t set it up in those documents, but you set it up for customers and items.

In Microsoft Dynamics 365 Business Central, you can choose which master data fields show up as fact box information on your sales documents. You set this up once for customers and once for items, and the information then appears automatically on sales orders, sales quotes, and other sales documents.

You define the setup on the customer and item level, not inside each individual document. When you enter a customer number on a sales document, the fact box shows your selected master data for that customer. When you select a line, the fact box shows your selected master data for that item.

You cannot change the displayed fields directly on the sales document. The display follows the setup you made for customers and items.

You can combine this with the personalize functionality to add master data columns directly on the document header and document lines.

Setting up master data fact boxes for customers and items

You can add master data information as fact box information for sales orders, sales quotes, and other sales documents. The setup does not happen inside the documents themselves. Instead, you configure it for customers and for items.

When you create a setup for customers, you choose which master data fields you want to see in the information fact box. This setup is defined per user, so each user can select the information that is relevant to them. The same selection then appears on the sales header when you open a sales document.

You do the same thing for items. You decide which fields you want as your favorite information for items, and that information then shows up per item on your sales documents.

How the information appears on sales documents

The setup you make on customers and items controls what you see on the sales documents. You cannot override it directly on the document itself. The display is driven entirely by the customer and item setup.

When you open a sales quote and enter a customer number, the fact box shows the master data information you marked as your favorite for customers. When you select a line, the fact box shows the item information you marked as your favorite for that item.

This gives you a better overview of the relevant data without leaving the document.

Combining fact boxes with master data columns on document lines

You can combine the fact box setup with the personalize functionality. That lets you add master data columns directly on the document header and the document lines, so the information you need is visible right where you work.
