Popup notifications in master data information can be used for sales orders and purchase orders, and the point is simply to be able to make information pop up as the salesperson is entering sales orders or purchase orders.

Popup notifications based on master data give you a way to show important information to a salesperson or purchaser exactly when they are entering a sales order or purchase order in Business Central. You set up the popup on the relevant master data, for example on a specific item number, and the information appears automatically when that item is added to a line.

You can apply popup notifications to item lines on both sales orders and purchase orders. You can also apply them to sales headers, to customers, and to purchase headers. This means you can prompt for information at the line level or at the document level, depending on what you need.

A typical use is to remind the salesperson to ask the customer for a specific piece of information. For example, on item number 1200 you can set up a popup that asks for the gear type, so the salesperson remembers to collect that detail and enter it in the master data on the line.

How popup notifications work on sales and purchase orders

The idea is simple. When a salesperson or purchaser enters an order, you want certain information to surface at the right moment so it is not forgotten. Popup notifications make that happen by triggering on master data.

If you open an existing sales order and enter an item number that has popup information configured, the popup appears for the salesperson. In the example above, item number 1200 is set up to prompt for the gear type. That is master data information you want the salesperson to collect from the customer and apply on the order line.

Where you can set up popup notifications

You have several places to attach a popup notification:

  • On items, applied to item lines on sales orders and purchase orders
  • On sales headers
  • On customers
  • On purchase headers

This flexibility lets you decide whether the reminder should appear when a specific item is used, when working with a specific customer, or at the document level on the header.

Q&A

What are popup notifications in master data used for?

They let you show information to a salesperson or purchaser as they enter sales orders or purchase orders, so important details are not overlooked. The popup triggers based on master data such as a specific item number.

Where can you apply popup notifications?

You can apply them to items on item lines for both sales and purchase orders, and also to sales headers, customers, and purchase headers.

Can you give an example of a popup notification?

Item number 1200 can be set up so that when it is added to a sales order line, a popup asks the salesperson for the gear type. This reminds them to collect that information from the customer and enter it on the line.
